What is licensing & pricing for PHPKB?

The pricing and licensing system of PHPKB knowledge base software is based on the number of admin users required. An admin user account is a user that would be able to login to the admin area, create/manage articles, and be an admin or author. They include Writers (Authors), Editors and Superusers. The license restriction is on the number of admin users (staff logins) that can be created to login and update your knowledge base. There is no limit on the number of end-users that can access the public area of your knowledge base. Please read here for details.

What are the conditions for an Academic License?

The following organisations are eligible for an Academic License:

  • Educational institutions: Public or private K-12, vocational schools, correspondence schools, junior colleges, colleges, universities, or scientific or technical schools that are accredited by a national accrediting agency.
  • Administrative offices & boards of education: Provincial, district, regional, national and state administrative offices and authorities of the Educational Institutions defined above.
  • Public libraries
  • Home-school programs
  • Research institutes that are affiliated with an accredited university.
  • Teaching hospitals that are affiliated with an accredited university.
  • Training and teaching organisations that are accredited by a statutory government qualifications body.

Proof of accreditation or affiliation may be required when ordering an Academic License.

What are the conditions of an Open Source Project License? How can I apply?

Open Source Project Licenses of PHPKB Knowledge Base Software is our way of giving something back to the open source community. These licenses are available for all editions of PHPKB Knowledge Base Software and are issued at no cost to the qualifying open source project. Open Source Project Licenses are issued only if the applying project can meet the following conditions:

  1. The project is using an OSI approved license.
  2. The project has a publicly accessible website.
  3. The instance of our knowledge base software, for which the license is being provided, is to be run on a publicly accessible web server and the powered by link is not removed.

Additionally, we may request confirmation of an established code base and at least a single software release.

Are there any discounts for government organisations?

Discounts are not offered to government organisations (unless you are a provider of primary, secondary or tertiary education - in which case you would qualify for PHPKB's academic pricing). Hosted licenses do not qualify for academic pricing. Government organisations purchasing our knowledge base software are required to purchase commercial license.

Would additional licenses be required if multiple instances of the software were to be installed on a single server?

Yes, additional licenses would be required. Each license permits only the deployment of a single instance of the software in a commercial environment.

Is this installed on my web server?

PHPKB knowledge base software comes in two types of licenses. Owned License (Self Hosted) and Hosted License. The owned license of PHPKB is installed directly on your web server, which means no monthly fees and no transaction fees, email fees, etc. It has a simple step by step installation process. PHPKB can be installed on virtually any web hosting account and does not require a dedicated server.

Can I use a license of PHPKB on more than one website?

Your purchase of a PHPKB license grants you the right to make use of a single instance of the software. You may temporarily install a second instance of PHPKB on an internal development server for testing and deployment planning, but only one instance of PHPKB shall be in operation (available for access to your admin users or end users). If you wish to run more than one instance of PHPKB, you must purchase an additional license for each additional instance. No additional licenses are needed if the software is deployed on a development server or staging server for testing purpose.

Do I need a dedicated server to run this?

No. PHPKB does not require a dedicated server, and shared hosting environments will suffice. Please see the system requirements to make sure your web host meets the requirements.

Can you install this product for me?

The PHPKB installation wizard gets you up and running quickly. While it's easy enough to set up yourself, if you would prefer PHPKB professionally installed and configured by our developers, you can take benefit of our "Free Installation Service" where we install the PHPKB knowledge base software on your server after your purchase of the product. Please note that this service excludes installation of PHP and MySQL. We will require the ability to remotely connect to your web server and database server.

What is the cost for installation and implementation of PHPKB Software?

We do not charge any installation, implementation or set-up cost like our competitors. We provide free installation service of our knowledge base software and you can start using the software right after installation. We provide a comprehensive user guide that helps you to start using PHPBK Knowledge Base Software in no time. You can also attend our training courses (if required).

Is the license a life time license? Do I have to pay any additional fees?

The license you purchase is a lifetime license, and you need not to pay license fees at any time after your purchase. There are no additional monthly or yearly fees to use the software.

How do I receive the product after my purchase?

Your software license will be e-mailed to you as soon as your purchase has been verified. In most of the cases, licenses are sent out the same day as your purchase. As soon as your order has been verified, you will receive two emails from us at the email address specified by you while placing the order. First email contains the order details and second email contains the download link along with your license key. You would be granted access to the customer area, where you can view your order history and place a re-download request. The download link expires after 48 hours but can be reactivated upon request. If you have not received our emails, please check your spam filter or spam software has not filtered or deleted the email.

How is the software distributed? Will I receive a CD-ROM or shrink-wrapped product?

We have adopted the Electronic Software Distribution (ESD) model. Consequently software is available only via HTTP download. We do not distribute our knowledge base software on CD, DVD or as a shrink wrapped product. As all licenses include 12 months of software maintenance (support and updates), the ESD model is the best way to stay up to date with the numerous software releases made available to you. At your discretion, maintenance can also be renewed.

How soon can I download the software after payment?

Download links are available once an order has been approved. The approval process usually takes 5 to 6 hours during our business hours but sometimes may be longer or a lot less. Our payment processing company performs a fraud check of the orders received to reject orders from people who choose to pay using stolen credit card details or compromised paypal accounts, so we cannot provide instant downloads. We take fraud extremely seriously, and our payment processing company use a number of techniques to determine whether an order is genuine, clearly fraud, or requiring further investigation.

Do I need root access to install this?

No, you do not need root access to install PHPKB, just FTP and MySQL access is required.

What server requirements do I need to run PHPKB?

PHPKB can run on virtually any system. If you web server supports MySQL and PHP, chances are you can run it. Please see the system requirements page for more details.

Which WYSIWYG editor does this product use?

We use InnovaStudio WYSIWYG editor. It is a powerful, cross browser, XHTML compatible WYSIWYG editor and has a whole host of great features.

Can I evaluate product for free, before purchasing it?

Yes, we can offer a 15-day private online hosted trial of the PHPKB knowledge base software at one of our online test servers so that you can evaluate the product and try it out before you decide to purchase it. If you would like to have a downloadable trial version of PHPKB knowledge base software that you can download and install on your own server for evaluation purposes, then you can contact us to get a 15-day trial version of the software. Please note that downloadable trial version comes with encoded source code and requires the IonCube Loaders to be installed on your server for it to work. You can get the loaders from this link. The purchased version of PHPKB knowledge base software will come with full source code that is not encoded and that does not require installation of IonCube loaders.

Can I migrate content from my existing knowledge base to PHPKB?

Yes, we can provide data import service. We have a lot of experience in importing data from other software solutions, including, but not limited to, knowledge base management systems.

Can I switch from Hosted to Owned version later on?

Yes, you can start today with a hosted version of PHPKB and then switch to the owned version (whenever required) later on.

Can I remove the "Powered by PHPKB Software" link from the footer?

If you wish to remove the "powered by" link from one installation of PHPKB you should purchase the copyright removal license. Please note that this does not allow you to remove or alter the "powered by" link in the admin control panel of the software. You can purchase this option on checkout, or at a later time from your client area.

How can I pay? What methods of payment do you accept?

Both updates and upgrades are free for the first 12 months from the date of purchase. Once your first year has expired you can choose to pay an annual fee for further upgrades. This annual fee depends upon the license you have purchased. Please see pricing page for details.

Can I run PHPKB on a Windows / IIS server?

Yes. All of the requirements are the same. Please see list of requirements.

I have a killer feature request, will you implement it?

Possibly. Please send feature requests to help@knowledgebase-script.com and we will certainly consider it. Many of our programs' features are a result of user feedback.

Do I get the source code with my purchase?

Yes, you get the full source code when you purchase an owned license of the PHPKB knowledge base software.

Is the source code encoded?

No, the source code of PHPKB knowledge base software is not encoded. You are allowed to make any modifications you may wish to the source code for your own use.

Which users are considered "admin users" for the purpose of licensing limits?

The limitation is for users with access to the admin control panel. They include Writers (Authors), Editors and Superusers. The license restriction is on the number of admin users (staff logins) that can be created to login and update your knowledge base. These are the users who must be licensed. For example you can have 1,000 users with a PHPKB account, but if only five of them have a privilege then you have five Admin users, and your license only needs to cover these five. There is no limit on the number of end users to the knowledge base.

I have 400 users but only 20 of them will manage the knowledge base. What license suits me?

25 admin users license of PHPKB knowledge base software will suit you well. The 25 admin user license allows you up to create 25 Admin users and unlimited reader users. User licensing is explained in detail in this article.

What is the difference between Admin Users and KB Member accounts?

Each license includes certain number of admin users (or staff accounts). All licenses also include the ability to create unlimited KB Members (or client accounts).

  • Admin Users (one may also call them Writers, Editors, Authors, Superusers or Admins) can login to the front-end (public area) and the back-end (admin control panel). Their ability to access, create and edit articles, categories, and use KB functions depends on their admin user level.
  • KB Members (one may also call them Client Users, Special Users) are read-only users who can login to the front-end only. They cannot create or edit content. They can access certain restricted content under private categories. Their access to the restricted content depends on the user-group that they are a part of. KB members can modify their profile, change login password, and save a list of favourite articles. So, the idea of giving someone a 'KB Member' account is to provide him with ability to see something that other public users cannot see.

Can we use our LDAP server to authenticate users with PHPKB?

Yes, PHPKB has built-in functionality for LDAP Integration. Please see our article on LDAP Integration for further information.

Can we customize the colors, look and feel of PHPKB to match with our website design?

Yes, it is very easy to customize the look and feel of PHPKB knowledge base software to match with your website design. PHPKB can be easily integrated within your website's header and footer designs so that nobody knows that you are using a third party software. It is very simple to modify the logo and color scheme of PHPKB knowledge base software to match with your website.

Can I upgrade to a higher level license?

You can upgrade to a higher level license at any time without penalty by paying the difference between cost of licenses.

What does the Upgrade and Support period include?

The Upgrade and Support package includes:

  • Access to official email support.
  • If you have a problem, email us at support@knowledgebase-script.com and we shall get back to you as early as possible.
  • Access to all major PHPKB versions released while the subscription is valid. Major versions have a two-digit release number (x.x). Thus release 6.0 is a major release, as is release 6.5. Minor versions have a release number (x.x.x). Release 6.0.1 is a minor release. Even when your upgrade and support package runs out, you can still upgrade minor releases for your major release.

The first year of upgrade and support is free. When it expires and you want support, or want to upgrade to a new version, you will need to renew your subscription. Price depends upon the license you have purchased. Please see our pricing page for details.

What if I choose not to extend my upgrade and support subscription?

You don't have to extend your support and upgrade package. PHPKB knowledge base software will still work for you. All it means is that you continue to use the version you purchased. You cannot upgrade (except for minor versions) and you will not get the same level of support.

Please clarify what you mean when you say "Even when your upgrade and support package runs out, you can still upgrade minor releases for your major release"

Suppose you bought PHPKB version 6.0. That was the major release. You've had it for 14 months now, and you let the support and maintenance period run out. Then we release 6.0.1. Even though your maintenance package has run out, you can still upload and install release 6.0.1. Once your maintenance package runs out, you can only get minor release upgrades for your current version. If you are using release 6.0 and are out of the support period, then you can only upgrade to releases 6.0.x. You cannot upgrade to, say, release 6.5.1 (unless you extended your support and maintenance package first. Major versions implement new functionality. Minor versions are for fixes and small tweaks to the system.

Can I upgrade hosted trial version to licensed version?

Yes, all your data is retained. It is safe to add data to your trial version.

Is my data secure on hosted knowledge base?

We understand that the security of your data on our servers is extremely important to you. We use servers that are constantly monitored for security, and are hosted with one of the most reputed hosting providers in the world. We use the latest software, the most latest security patches, and all security best practices in our software, servers and network. Online security today is a moving target, and we work hard to always be up to date.

Is it an Open Source software application?

No, PHPKB knowledge management software is a proprietary software application. We offer full source code to all the licensees, allowing them for in-house customizations and modifications. Our knowledge base software is very flexible and customizable; source modifications are required only in the most complex setups.
